UNIT 301 – MANAGE OWN PERFORMANCE 1. Planning is necessary for time management. I organise and prioritise my work as per any instructions. I categorise them into urgent, important, general queries and daily tasks. This works alongside the deadlines given to me. My Line Manager and the Consultants know exactly when to expect the work to be complete and can be sent out in the timescale allocated. Therefore I need to be responsible and accountable so I cane deliver what is expected from me. I also create a “To Do List” on a Monday morning so that if I am away from my desk for any reason someone will know exactly where I am to date and can pick up where I left off. 2. The purpose of realistic targets is done by assuring that the patient’s GP received the letter regarding the patient’s clinic visit here and report exactly what the next step forward is. This needs to be done within a 5 day turn around so any medications can be issued as soon as necessary. 3. Everything has a deadline which is always put onto Winscribe by the Consultant. If it is URGENT then it is highlighted in RED and becomes my priority. There is a timescale listed on Winscribe for everything else which lets me know how much time I need to allow. 4. Things like power generator testing, no notes available, patient not attending clinic, sick leave, annual leave. 5. It helps people know what targets need to be achieved and if they have been met. It can also help to motivate staff. I never promise anything I know will be possible to deliver. 6. People need to be informed if work plans need to be changed so they can prioritise their tasks to help. It helps people know where they stand and gives relevant feedback. It also helps my Line Manager to see if any extra help is needed at any time. 7. The purpose and benefits are that you don’t make the same mistake again. Learning from your mistakes makes sure you recognise what you have done wrong and that you take full responsibility for it. You can also learn from other people’s mistakes, ask questions and take notes from others who do actually know what they are doing. 8. The purpose of guidelines and procedures is that you know what to do and everyone follows the same guidelines. Setbacks or interruptions from colleagues/medical records staff can happen almost any time i.e.: printer jam, computer problems, Consultants off site, patients not turning up to clinic, blood results delayed. But these set backs can all be rectified and shouldn’t cause too many problems. They should be reported to Team Leader as they arise if I am unable to deal with them myself and she will get help in. 5. Assertiveness means standing up for my rights whilst respecting the rights of others. Being assertive helps ensure that I am not being taken advantage of. An example of this could be not agreeing to take too much work on by helping other secretaries if I have still got typing of my own to finish. 2.6 Examples of where I need to be assertive are : checking patients personal details against notes, medication dosages can often be missed out of dictation so I need to refer back to notes, checking on Google some of the terminology ailments, sending out copies to relent people. Faxing urgent letters to GPs on their request. UNIT 301 – MANAGE OWN PERFORMANCE 6. It is important to take on new challenges and adapt to change because things change all the time. Changes are a good thing as it could mean new technology changes to make the job easier ie: going to digital audio from manual (Winscribe). Policies and procedures change in the NHS all the time also I have to adapt to changes regularly – they are usually done to improve things where possible. 8. Employees work as a Team so respect and honesty is important for the smooth running of the job – even is there is Someone or something you don’t quite like. 9. Being helpful, polite, honest, trustworthy, positive and a good team player are the qualities that demonstrate this. 10. Being unhelpful, dishonest, negative, ignorant do not demonstrate this. 11. I should help other staff members wherever possible because you don’t know when you may need help yourself. I often support Louise Worley in Cardiology when she gets a backlog by taking some of her audio typing through Winscribe. Or I track back notes to Medical Records for Therese Halpin who shares my office but works for another department (IBD) when our office starts to overflow.
