DUTIES AND RESPONSIBILITIES
POSITION: COUNTRY MANAGER
The Company
Operation Smile Mission in Kenya (OSMIK) is a private, not-for-profit volunteer medical services organisation providing reconstructive surgery and related health care to children and young adults in Kenya.
Areas of Responsibility
The Country Manager is responsible for the daily management, oversight and reporting on all areas of OSMIK activities, including:
1. Fundraising
• Work with board to raise a target amount of KSHS 12 million for local and international missions through attracting cash donations, or by other avenues of fundraising as set out in annual budgets.
• Work with board members and other OS chapters to identify, approach and create a successful relationship with a target of 10 corporate donors, 3 international funding bodies and other sources of funding to support overall administration and mission costs.
• Plan and implement 3 yearly fundraising events, including the Corporate Challenge.
• Build strong, lasting relationships with local and international donors so that Operation Smile is part of donors’ long-term investment plans.
• Work closely with the Board, individual Board members and Board sub-committees to reach these targets, and expand fundraising targets by 50% per annum from second year of employment.
2. Programme activity
• In accordance with Strategic plan, to maintain and further develop, expand and improve OSMIK’s four programme areas: Local Missions, Clinics, Education and International Missions.
• To continuously implement ways of improving the quality and quantity of surgeries provided.
• To work with OSI and other chapters to develop synergies in proving training and capacity building programmes for volunteers.
• To work with OS regional office and OSMIK board to develop and implement regional development- and programme- activities.
3. Financial management
• Responsible for managing and overseeing all financial transactions in coordination with Board Treasurer.
• Work with the Board and Treasurer to ensure that financial management is in accordance to legal requirements and generally accepted accounting principles.
• Work with treasurer to provide financial reports to Board on a quarterly basis.
4. Administration
• Ensure that the general administration of OSMIK is run efficiently and effectively, including maintaining adequate records of all activities, including missions, fundraising, financial issues, volunteers and all other aspects of OSMIK activities.
• Ensure that all legal requirements on OSMIK as a Non-Governmental Organisation are fulfilled and maintained as required in cooperation with the board.
5. Strategic Planning
• In collaboration with Board, to provide long-term five-year plans and annual strategic plans.
• To implement and report on implementation of said plans in collaboration with board.
• Provide accurate mission reports to OSMIK Board and Operation Smile Inc. to help plan and develop future missions.
6. Supervision
• Manage and supervise the daily work of all OSMIK employees.
• In collaboration with Board, to provide continuing training and support to all OSMIK employees to allow them to excel and grow with the organisation.
• Provide biannual performance evaluations for all OSMIK staff.
• Report to Board on staff performance on a quarterly basis.
• In collaboration with Board, to ensure that all staff policies are in legal compliance with local employer regulatory laws.
7. Mission Support
• Collaborate with mission coordinators and Board members on all logistical requirements before, during and after international missions.
• Assist mission coordinators in preparation of post-mission reports, financials, and continuing communication with mission sites during the year. This includes visiting sites pre- and post-mission, as well as accompanying international fact-finding teams.
• In collaboration with Board, to create networks and support to ensure smoothly run, safe and cost-effective international and local missions.
• Collaborate with OSMIK local foundations and Board to plan and implement local missions and Saturday clinics.
• In collaboration with Technical Committee and Board members, to recruit, train and work with medical volunteers to carry out mission tasks.
• Ensure that Kenyan volunteers are adequately credentialed, managed, recognised and retained.
• Work with Technical Committee and individual Board members to design, supervise and implement educational programs with physicians, patients, patient families and the community in general in order to achieve the goals of Operation Smile’s mission.
8. Board Development
• Help ensure that the Board works effectively and efficiently.
• Help ensure that the constitution of the Board remains adequate in a changing environment.
• Collaborate with Chairman of the Board to hold monthly board meetings and distribute minutes in a timely manner.
9. Public Relations
• Work in collaboration with the Board to maintain a strong relationship with local and international press.
• Work in collaboration with the Board to ensure coverage and recognition for Operation Smile missions, fund-raising events, board members and major donors.
• Work with incoming media who may be part of mission teams.
• Provide feedback on all media coverage to the Board.
• Include PR strategy in strategic planning activities.
10. Reporting
• Provide reports to board on all OSMIK activities, including public relations, fundraising, missions, medical, legal and financial matters by each board meeting.
• Work in collaboration with the Board to provide reports to Operation Smile Inc. when appropriate.
11. Professionalism
• The Country Manager will at all times maintain a professional stance and encourage professionalism in all development and outreach activities. The position holder will take responsibility for keeping current with new trends in the development profession. They will, at all times, respect the confidentiality of privileged management and donor information.
The Country Manager will readily accept new assignments consistent with the foregoing objectives of Operation Smile Inc, the OSMIK Board and the mission of Operation Smile.
