Introduction
Incorporating Microsoft Access in Business Organizations
Microsoft Suite is reasonably a good product, and within the suite is Access. There are many users who enjoy this database program and others who have a strong dislike of it. Those users that enjoy it, have evaluated database software and have compared to the other database (Excel) find it a great fit to incorporate in for their office automation system users (OAS) and even software developer. Access is a powerful engine and it integrates well with other Office products. It does cost a bit of money however, on the order of $200 or thereabouts per desktop. Some small to moderate company favor this product and see the benefits of it, while larger companies or business are not certain if the database system will not cause delays in retrieving and storing data.
Conversion to Access Databases
When an organization initially utilize the Excel program converting to Access provides usefulness relational spreadsheets. On the other hand Excel has non-relational spreadsheets that provide listed data which cannot be query to other spreadsheet data. Each of the programs, Excel and Access have the ability to store a large amount of data, so transferring large amount of data is equivalent. Microsoft has enabled the process to convert files from Excel to Access relatively simple. To bring data from Excel the spreadsheet can be copied and pasted to an Access worksheet. Another procedure is to import an Excel worksheet into an Access table, or link to an Excel worksheet to an Access table (Nelson, 2012).
Accesses enables users to covert worksheets from Excel and manage the information into tables and sorted based on a specific subject, when the data store has is reoccurring relational information then Access is the most useful software than Excel. The Access software enables another table that has comparable relationship to be accessed. For example when spreadsheets from Excel are converting to Access and have relational data for services then the company can query another table for information. Access spreadsheets also allow the user to re-order rows and columns without changing the meaning of the table and multiple users have access to the spreadsheets (Nelson, 2012).
Access Benefits for Business
Using Microsoft Access would benefit an organization in many ways. From Software Development, Financial or even Architectures Firms, it allows the developer to create more effective programs that are maintained by database codes and even small to large proto-types. 1. Most of all the software is cost effective and it acts as the Information Systems Administrator.
Small to moderate size companies and business that use OSA to keep track of Personnel and Financial data, can create multiple reports in faster times and or regenerate data bases with just a click on a wizard. Incorporate tables into a program with less than one percent of correction time. OSA users can incorporate graphs and pictures into the database to create more effective reports.
Both Excel and Access are great data systems, Access can be used on a larger scale and has a greater flexibility to manipulate information in to workable and transferable reports. No matter what your level of experience is with database programs, this is the most simplest to use but more effective product to have and there is no formal training involved. In just a little time you can take just a little information and develop a presentation of data in a report layout.
This program is so flexible that you can import and export data quickly, it talks to other Microsoft programs, which allows a new user to fell like an expert when using for the first or second time. Finally it offers less codes to operate than Excel and the connectivity to web-base programs are less complicated.
All though Access is limited to 2GB, upgrading the program is quick and easy with implementing a SQL Server and all the information will transfer in minute vice having to create another database. The software is so effective you can even use it on a one time basis and the date is stored for a long period of time.
Collaborating Software
There are many collaborating software that can be used alone with Microsoft Access. SQL Server is a cloud-ready information platform designed for organizations looking to efficiently protect, unlock and scale the power of their data across the desktop, device, datacenter and private or public cloud. This server is low cost and runs very well with Microsoft Access.
One of the great features of a SQL Server is that it supports many of the more advanced features of Access such as storage procedures, views, functions, and integration and snapshot isolation which allow the system to run queries, photos and extra data that can be incorporated from other Microsoft programs.
Another great thing about these types of system is that they come with QL Server Express edition, for complete security controls, which allows you to fully control what users can see in your database. Security is somewhat configurable in Microsoft Access, but in no way does it give you anything the capability that this addition does without it. (Chapman 2012)
Conclusion
The truth is, whatever the size of your company, Microsoft Access as a stand-a-lone is a great tool for achieving database management with a reports generator. , However once you have collaborated and utilized additions like a SQL server, you have not fully utilized a database or a true management system. It manages a database and assists your administrative sections with all tools necessary for advance production.
