Kudler Accounting System Paper Peter Goldsmith BSA/310 March 9, 2013 Jennifer Streker Kudler Fine Foods is an organization that was created to provide a variety of healthy foods that catered to each customer. The services and products Kudler offers is very distinctive so they must determine how they will market the pricy organic menu and remain on top of the business chain. This means they must organize and be ready to make decisions throughout the organization that will allow Kudler the means to take action by determining what they inventory will consists of, how will they market the products and service, how much will it costs for all of the mentioned and the organic farmers contracts, who will they target in general and what do they need to make these strategic plans effective' Kudler will need to refine their information systems that implements updated and upgraded software and hardware. The changes of the new and improved organic menu will cause Kudler’s data input to increase and with that comes the need for and advanced File Management systems. This system needs to be able to access records efficiently without limitations to avoid customer dissatisfaction due to incorrect data, unreliable data or just plain slow service. Information continues to pour into the Database and the Database Management System (DMS) through external sources like clickstream information via the internet, POS terminals, CRM’s, resource planning applications, supply chains, and e-commerce applications. Key features needed for a new accounting system would be implementing and upgraded Database Management System. This will give Kudler the ability to centralize their data files, manage them and the application programs integrated within the infrastructure will have unlimited access to the stored information regarding the inventory, accounting department, customer service, human resources and more. This system will benefit the organization by allowing them to cater to a broader clientele using the internet. Aside from the different language capabilities, A DBMS can handle large scale transaction processing systems that will originate with a customer’s order to the inventory being accessed through the inventory control systems. These systems will have the capability to process transactions and responds quickly making the decision making process more efficient for the executives and managers. Implementing data warehouses may seem a more efficient route for a booming company because it will store the data, and respond by analyzing questions needed to make critical business decisions. Kudler will benefit from the use of utilizing these data warehouses because they will enhance the business and IT systems within the organization. There are a wide range of benefits for each department in an organization; sales and marketing could forecast and predict which customers would be more profitable, pricing the product would be optimized because they could estimate a cost that would prove profitable, the performance of sales within an area based on products sold and to who, whether individuals or groups and financial management. A DM has many characteristics that will provide Kudler functionality in operations, marketing, distribution, and product development. The increase of clients leads to an increase of data which means Kudler would need to implement an enterprise content management (ECM) to manage their electronic documents and files. This would allow them to handle the vast amounts of content, ability to integrate the information in business processes, support users access and interactions, and maintain control over the data to meet the legal requirements as set by the government. This would save money and time if ever involved in legal litigation by being able to produce the needed information requested for audit or other legal matters. Kudler could implement systems that contained sub-systems that would allow the performance of different activities in the different areas of functions. These operational subsystems could consist of production and manufacturing, finance, accounting, human resources and sales and marketing departments. Transaction processing systems (TPS) support the core operations. According to (Turban & Volonino, 2011, p. 260) “they monitor, collect, store, process, and disseminate information for all financial and nonfinancial transactions”. Kudler’s accounting system is operable and serves the purpose intended, however, with an increase of business contracts, clientele and the demand for more products, the IT systems do need to be improved for increased functionality and to ensure the success of the company. Improving the CSM would allow the customer’s quality service, the DSS would send feedback and reliable information for better decision making, integrated systems and subsystems would allow the organization the ability to remain updated within the corporation and with the customer’s and external business entities. The inventory would be efficiently managed, tracking what products are being sold faster than others, which products are not selling, which products are seasonal and which customers prefer what products. The cost to implement this system would be very affordable to Kudler. Not only will the cost seem financial stable, it will eventually benefit the company and provide profits and pay for itself. It will store information accurately and accessed efficiently which cuts loss time, able to maintain more customers without hiring more employees, keep track of inventory which is a large part because of the fresh products involved, and provide reports with accurate information that will lead to better decisions made by upper management. Since managing, searching for data and retrieving information may seem like a challenge; this upgraded system will save Kudler money based on reliable, accurate and comprehensive information that will show profit and loss quarterly and yearly. The financial health of the organization will be stable and prove profitable; employees can access personal and client information with access rights enabled and the accounting department itself would be able to handle many functions; inventory, payroll, accounts payable and receivable. Kudler would definitely benefit from an improved accounting system if they implement the correct software and hardware required to perform the duties needed to maintain the growth of the organization.
