RECORD KEEPING
Keeping records is a key responsibility of the teacher and some of these records are required by law or codes of practice in the institution or industry. As stated by Gravells, (2008:88), ‘‘Keeping records helps to show who we assessed, what was assessed, when assessment took place, where assessment took place, why assessment took place and how assessment took place ’’ There are different kinds of records that we keep teaching records, Individual learners records, medical / health & safety records, quality assurance records, assessment record, tutorial records, the attendance record which helps in monitoring attendance. Assessment records and learner grades are very essential to ensure that each learner is performing and attending the course while the teacher maintains an up to date record.
Initial assessment helps in knowing learners capability, and helps you support them appropriately. It is planned and carried out in such a way that learners and teacher, school authority , parents can see what the benefits are and the positive effect it has in developing the potentials of learner. It takes into account the needs of learners in planning the scheme of work and lesson plan. The activities planned in the scheme of work and lesson plan are tailored to meet the need of the learners and linked to resources such as handouts, role play, group / peer assessment. Initial assessment reveals issues such a learning difficulties and dyslexia which gives teachers vital information about their leaner.
Individual learning plans sets out what a learner plan to learn, by which, the learning process and the resources require the carefully documented plans of what a learner will get from their starting point to bring the plan into action. This is based on an output of initial and diagnostic assessment. Individual learning planning should record what the learner already knows, what the learners can achieve on the course or what the learner would like to achieve, progress on the course and final achievement. They should be live documents that are useful to the learner, delivery staff and possibly employers and parents/guardians
Reviews is checking or reassessing learners progress regularly, it’s having one to one discussion with your learner, asking about how they are progressing, what they may need to improve on or what needs to be worked at in future. All identified needs and areas of improvement are formally recorded and signed by both parties in order to maintain or keep records of the discussions. According to Gravells (2008:88), reviews are
a good opportunity to carry out formative assessment in an informal way. It gives learners the chance to ask questions that they might have been embarrassed about asking in group situation.
Record keeping is an important tool and have great benefit to learners, teacher, management and funders. Records are informative and they help to build and design courses for assessing present and future learners. Course records are used for final result for learner’s qualification. Records help overall in order to know if the course was needed or not. Records help the college inspectors to know the standard of education. It helps teachers to have feedback. Personal Learning plan helps the teacher give a daily record of each learner to monitor concerns, punctuality and performance. Medical record is essential for health and safety purposes. Individual learning plan helps the teacher to set target for learner and monitor their progression or regression, make provision for functional skill where necessary. Some teachers keep a diary for comparison to the records. An awareness of record keeping in a teaching environment require good practice, proper documentation and recording of information in line with the organisation recording procedures and relevant government legislation {data protection act (1998)}, this allow the audit teams, external agencies such as the awarding body, student finance to have access to records kept in the educational institution to make decisions about funding for courses offered in various organisation. The requirements for funding are based upon records and feedback from learners, employers, drop out learners and parents.
Record keeping gives clear information available that could be referred to about the past, used for decision making in the present and sound judgement about future for the learners, teacher, and educational sector.
Teachers should be aware and put to practice its organisation’s recording procedures in the workplace.
