Briefing on the process of selecting and acquiring an Information system for Our Health Care Organization. Mary Conley HCA / 383 February 6, 2012 During the implementation process of our Health Care Organization, we will ensure that we find the best system suitable for the size of our organization. We must be certain that we go through the correct process for selecting and acquiring the best information center for our organization. We will discuss our organizations goals that will drive the selection of our Information Center. Last we will discuss the roles that each of the organizations stakeholders play in the selection and acquisition process. The first step we must make is to pick out a team of about seven members. These members must have at least five years of experience in Information Technology systems. It’s always good to have one or two members leading the implementation process. They will have to consider how many workstations we will need for our employees. Since our organization is not a large one the team will need to consider which system would be most suitable for the size of our organization and which system is most compatible for the kind of information needed to be stored and a system that best suits our organizations overall needs. Since we are not a large hospital which is most suited for an enterprise system, we would be best suited for a secure cloud based subscription service (SaaS).With this system , it can be up and running in weeks. With a Hospitals enterprise systems it takes months sometimes years, to have the system operatible. This SaaS system is quite suitable because it’s in standards with the industry protocols in conjunction with our hospitals current IT infrastructure. If a health care technician is familiar with a web browser then they should have no trouble operating a cloud based EHR. If not then they are easy to use and can easily be learned from the start. Another good thing about a SaaS it cost 50 to 66% less. The reason for this is that unlike a hospital the SaaS does not incur a large infrastructure, hardware and software investments, because the vendor upgrades, maintains and operates the infrastructure and EHR remotely. I believe with the needs of our organization, that the SaaS system would be suitable for our organizations needs. Another implication to consider when developing an information center is the organizations goals that drive the implementation. One of the most important things to consider when making sure goals are met is the need to be responsive to patient’s needs and values and the employees who will be operating the information center. It needs to be user friendly, along with meeting goals. When creating our system we will involve patient and the public in helping to design our new system. This one thing is key to achieving a Health care system that will take care of needs of the patients. When involving patient the system is more likely to have improved health outcomes, better quality of life and satisfaction for the patient. Besides the patients and employees we will need a Computer and Information systems manager. These two will play a major role in administration and implementation of the goals and technology needed by the organization. They will coordinate and do research on our computer related activities that will help in the selection process. They will help to determine the goals of our organization and ensure the technology meets our goals. They will oversea our aspects such as software development, network security and internet operations that is suitable for our company. Working under the Computer and Information systems manager, will be computer software engineers, computer programmers, computer systems analyst and computer support specialist. This specialist will plan, coordinate, install, and upgrade hardware, programming, systems design and development of internet services. These computer technicians will decide on what is important in our organization and plan out a design that will be workable, reasonably priced, and meet all of our organizations needs. They will also be involved with the upkeep, security, and maintenance of our new network. They will work closely with our team of nine individuals who will let the computer technicians know what is needed in our system and what is not. The technicians will also make sure our technology stays abreast of the latest to ensure our organization stays competitive. We will discuss the roles that each of the stakeholders play in the selection and acquisition process. The stakeholders need to ensure that the process that is chosen will be adequate for everyday activities. The users of the system play an important role and have value when it comes to our new system. They have firsthand knowledge of what contributes or limit the success of our HER system. Some examples of the Stakeholders would be the physicians, the clinicians, the patients, managers and the public. There was a study of 52 stakeholders. The most frequent adoption factors common to all user groups were design and technical concerns, ease of use, interoperability, privacy and security, costs, productivity, familiarity, and ability with HER, motivation to use HER, patient and health professional interaction, and lack of time and workload. (BMC Medicine April 28, 2011) As you can see each of the 52 stakeholders had their own perspective about the EHR systems. Being a small organization it’s more difficult for businesses to get new HER system because of the cost and the stakeholders don’t contribute much so the majority of the new system falls on the physician.
