Company Structure
GP Audio (HK) Limited is a manufacturing company for mainly producing speaker and speaker component product. It had been already hold for forty years ago.
It also have around 200 staffs in Hong Kong office, 300 staffs in SZ office and 1500 staffs in HZ factory. Totally, the staff number of GP Audio (HK) Limited has around 2000 staffs.
Hong Kong office
The Hong Kong office is as a head office for GP group. The main function of Hong Kong office is sales and marketing to follow all purchase order from customers and related vendor. It also seek the new customer and vendor to develop the company business.
The department in Hong Kong office is sales & marketing department, purchasing department, general managing department, shipping department, accounting department, IT department, human resource and administrative department, store and shop.
The sales & marketing department is received the purchased order from the customer or vendor and follow up the process of the purchased order. It also collects the requirement of the product from customer and coordinate the communication between vendor & factory. The other function of this department is found the new customer or vendor to develop the new business.
The purchasing department is collected the cost or price of the product material from the supplier. It also calculate the total cost of the product.
The general managing department is mainly made the decision of the business project. It is also provided the approval of the product to deliver customer.
The shipping department is mainly arranged the shipment of the product to deliver the customer or vendor.
The store department is mainly to store the product in the warehouse and control the warehouse managing.
The shop is directly sold the company product to the customer and the retailer.
The account department is mainly to control the GP Group finance and account document. All payments also need to get the approval of this department.
The human resources and administrative department is mainly provided the man power resource and the administrative services for the company.
The IT department is provided the system support and the enterprise resource planning service for the GP group company.
SZ office
The department of SZ office is the research and development department which is mainly to enhance the technology of the company product and develop the new design for company product. This department is totally six sections for search and development.
Section 1 to Section 3 are software research and development team and Section 4 to 6 are hardware research and development team.
Factory
The department of the factory is production department, quality control department, packing department, shipping department.
The production department is produced the product on the product line in factory.
The quality control department is provided the testing and the checking the quality of the product.
The packing department is mainly to pack up the company product to customer or vendor.
The shipping department is control the delivery of the product from china to Hong Kong and oversea.
Company Business Flow
First, the sales & marketing department should be received a sales order or a purchased order from the customer and get more requirement of the order from customer. Then, the sales & marketing department will be passed the order information to the purchasing department which will collect the update cost of the product material from supplier and calculate the total cost of the product. If the total cost of the order is approved by management, then the processing status will be passed to the research and development department which will development and improve the technology of the product. Then, the next procedure is produced the product by production department in factory. The production department will be produced a mass of the company product. When the production procedure is finished by the production department, the product will be passed to quality control department which will provided the function for the testing and checking the quality of the product. Then the testing result is passed. Then the product will be going to packing department which will be pack up the company product. After the packing procedure, the product will be delivered to Hong Kong from factory. Then the company product is delivered in warehouse in Hong Kong. The management will check the company product again in Hong Kong office and make the approval for the company product to deliver to customer or oversea. Then, the shipping department get the approval from the management and then the company product will be delivered to oversea and the company shop.
Problem Description
The problem of the company problem is missing more purchasing order from the customer. Due to the company always delay the task date and no faster than other competitor. The cause of the problem is that the existing approval flow is depended by email communication between department and department. This communication is very easy to get the miss understanding communication and delay the reply mail for the approval by the personal reason. Then, the overall processing time will be increased and then the task time of the order will be delay. The image of the company will be lost from the customer.
