Functional Skills In my area of specialism, Event Management, it is essential that all three are understood and an accepted part of the preparation and structure of each event. English: As all my learners will be taken through the stages of planning and running an event I stress the importance of a solid understanding of spoken and written English. We run through how to compile the preliminary email that is sent to a performer asking them to perform. I advise that an eager but professional tone is the best approach. I also set up role plays to give them the confidence in spoken English to approach venues to discuss and confirm a date for an event. I also explain the importance of clarity in communication when discussing dates, times, fees and what is expected of each party involved in the event. I specifically concentrate on recapping a conversation to confirm understanding and again this is done through role play. This stresses the importance of good listening skills which are essential for clarity. Learners are encouraged to write a brief for a poster to promote the event that includes the important information relating to the event, which also gives a definite idea of what the event is as well as describing images to be used to help create and support that description. Finally I explain the importance of good customer service, even after the event, so time is spent compiling emails or role playing phone calls that thank those involved and allow for possible future collaborations. Maths: It is vital that anyone running an event has a firm understanding of how time is broken down and how to budget for the event. We complete plans on the cost of an event and how to then calculate the price of entry to look to make a profit. I have worked out a basic formula to reach a break even total and we explore various examples for various sized venues. Whilst working these budget and costings out the learner is constantly using the four main functions in Maths (x, /, +, -) and therefore gaining confidence through practice. This practical use of Maths then demystifies figures and the learner sees the benefit of a solid working knowledge of the subject. When I teach them how to schedule the event I show the learner how to break down the times and they learn how to work with something (time) that isn’t the standard decimal system. In using something familiar like hours and minutes they improve their basic numeracy skills without realising they have expanded their working knowledge. ICT: Having touched on emails in the written English aspect I try to ensure that the learner understands the importance of having a good grasp of how technology can support and benefit their role as an event manager. I set aside time so that each learner has the chance to use a PC if they do not own one. We look at how to use the basic programmes such as Word and Excell and how these can be used as a support tool for their work. When they grasp the basics we look at learning how to use practical programmes such as Photoshop, which if a good enough working knowledge is gained can actually have positive financial implications as it negates the need to pay a graphic designer for posters or flyers.
