Running head: COMMUNICATION CHANNEL SCENARIO Communication Channel Scenario Gurcharanjit Kaur University of Phoenix Communication Channel Scenario Before we begin the communication channel we need to know what communication is. Accordong to Hybel & Weaver (2004), the term communication means interact with others, share information and beliefs, exchange ideas and feelings, make plans and solve problems. Sometimes it is done interpersonally, in a team, can be in a small or a large group and sometimes through media or internet system. In other words, communication is transmitting the information from one person to another. According to Eunson (2005), Channel is the route by which the messages transmit between sender and receivers. Communication rarely flows through one channel. It may be the use of two, three or four different channels. Most common channels for business communication are face to face communication, teleconferencing, written communication, telephones, and emails and so on. All are useful methods in communicating. Face to face communication is the most effective channel of communication. Face to face communication can be used in several ways. It can be in a one to one meeting, in small groups or conferences. In large scale companies, because of the demand of the competition, new policies are formed on a regular basis. In this case they arrange formal meetings or conferences to let the employees aware of the new policies. One of the advantages of the face to face communication is that everything get cleared right there. Text messaging is the fastest way of communicating with friends and family through a phone. The advanced technology in internet allows people to send text to phone through internet. People can share photos through the text messaging system too. But the disadvantage is that with text messaging system there are only limited number of words you can send. If you have to send page full of messages, the receiver won’t receive the whole message instead it will be displayed in parts. This way text message may not be useful for the emergency messages as sometimes it is hard to explain everything in one message. But the text message system is good for simple communication and for those who doesn’t have a computer system. With the advanced technology and popularity of the internet, people are communicating via email. This fast and efficient method of communication is perhaps the preferred method of online communication at the present with thousands upon thousands of emails being sent each day. Email can be used on many occasions, either it can be someone’s birthday or informing the employees about the new policies of the company. Email is the inexpensive way to communicate. You can send one email to multiple employees or friends at the same time. This system has some flaws too. Some people choose to send worms and viruses via email in order to infect and damage the computers. Moreover the infected or virus email is difficult to detect. Another method of communication is telecommunication or phone system. It is quick and accessible. You don’t have to travel to relay your messages. Even if you are working in one office and working in another unit, it’s easy to pick up the phone and call the appropriate person to communicate. Because of today’s economy, it saves gasoline, time and above all less room for error. With the conference calling system, we can talk to a number of people at the same time. The biggest disadvantage is it’s hard to reach the remote areas where doesn’t have the access. Sometimes because of the poor line connections, can not convey messages properly. Through the phone system, we can not see the sender’s facial expressions which can lead to misunderstandings. In scenario no one, face to face communication channel will be the best of the choice as this way we can communicate to a large group of people or employees at the same time. We can find the ideas of the other employees too. We can send the email to the company’s Vice President and tell a little about our points and also request him to organize the meeting with other employees. This method is the best way to relate your ideas and you can get the feedback right there. Any questions can get cleared right there. In Scenario no two, telecommunication is the best choice as you want to resolve the problem right away. A lot of people travel everyday. You do not want to loose your business because of your quick response people come to you. I will call the IT department immediately to resolve the issue. After fixing the problem with the IT department, I will call the employees to give them the new login and password through the conference call system so all the employees will know. In Scenario no three, I will use the written communication method. First I will email to the employees to explain the situation that why I have to cut down the work force. After informing them, I will arrange face to face communication and notify in writing and let them signed as I don’t want any legal issues against the company. Pearson, Nelson, Titsworth & Harter (2006, p.11) point out that communication messages take many forms which can communicate verbally and nonverbally. Communication channel plays a very important role in the communication process. No matter what channel you are adopting to convey your message, but it should be effective, clear and concise. .
