Club IT has been recently remodeled and its owners are looking to analyze their information needs to stream line the process and communication between information technology, data management, and decision-making capabilities. An intern has been hired to help with the analysis of Club IT information needs. As part of the research the intern invites some friends to spend Friday night at Club IT. They have a good time rocking out to live music and made some new friends along the way. On Monday morning the intern meet with the club owners to get some background on Club IT and an idea of what specific needs they have.
Club IT mission statement is:” We, Ruben and Lisa, offer you live music, DJ's, dance space and refreshments that suit your lifestyle. You are our friends, and we seek to build a community that meets regularly at Club IT. “Club IT is a 6,000 square foot club located in the busy downtown district of your town. Club IT consists of a 600 square foot dance floor, with seating for 220, as well as a restaurant featuring appetizers and four bar portals featuring a selection of wines and beers. Club it is owned and managed by Ruben Keys and Lisa Tejada, who have a background in Business Administration. Both are also musicians. The Staff at Club IT consists of An Assistant Manager, 4 bartenders, 6 wait staff, 2 stewards, 2 short order cooks, and 4 security personnel. While Ruben and Lisa Manage the financial aspects of the club, they are looking to increase their operational effectiveness, thereby increasing their potential for maximum revenue.
A Transaction Processing System should be set in place, tracking the customers from the time they entire the club, to the time they leave, by introducing the Club IT VIP membership card. The card will give the customers a feeling of exclusivity while allowing management to track regular club patrons from the moment they walk in to the moment they leave. Club IT VIP membership card would allow them access to VIP events, VIP areas within the club and notification of upcoming events, specials. This VIP card will also help as a tracking tool to help identify key aspects that will affect the budgeting and planning strategies for the restaurant and bar. The VIP card will also be linked to an electronic commerce system, allowing patrons to order through the internet in advance, and/or secure seating in advance. The transaction processing system will also keep track of the amount of patrons in the club since all patrons pay initially at the door. This will also feed in to the Management information system which will keep record of the food, drinks and merchandise that it purchased. An expert system to approve credit card purchases should be set in place, an Executive dashboard should be set in place to track sales. Lastly, an Enterprise system should be set in place connecting all other systems for maximum functionality.
The strategies for competitive advantage selected by the intern are Customer oriented and operational effectiveness. Though other competitive strategies were considered the intern felt these were the best two to use. Since the club had been recently remodeled with high energy lighting to create an ambience of fun, the intern felt a cutting edge customer oriented web based system. By using a card system to track the customer’s interaction with different aspects of Club IT, it provides data that can be processed into information and knowledge. The information and knowledge gained is used to reach optimal operation effectiveness which increases quality, productivity, and employee and customer satisfaction. After sitting with Club ITs’ owners Ruben and Lisa and getting an understanding of their information needs and analyzing their current system, It was suggested a transaction processing system be set in place to track the different aspects of the customer interaction with Club IT. A management information system should be used to track sales, an expert system to automate credit card transactions and an enterprise system set in place to connect all systems for maximum operational functionality.
