Running head: INCORPORATING A KIOSK DATABASE Club IT Essay Part 3 Your Name University of Phoenix Instructor Date Introduction Club IT has been successful. The clientele of Club IT has increased and the club has been constantly busy in the evenings. Though, Lisa realized that incorporating a wireless order-taking system would be beneficial to the club. Therefore, _______ has created the following analysis with a kiosk application. A kiosk is a system that can be used by entry-level employees and by management. Using a kiosk will result in numerous savings for a corporation. Reduction in HR staffing, employee turnover, distribution costs, and printing costs. The quality of data will reduce audits, and fewer resources will be needed when new hires are processed. A recent survey by Salomon Smith Barney noted that companies spend an average of $1700 per employee, per year on HR communication. Kiosks reduce this cost by providing convenient and consistent information to employees. Whether employee scheduling, distributing pay stubs, new benefits, 401K administration, company policies, job postings, training opportunities or company news, kiosks provide an extension of your HR department, conserving those resources for more important tasks. (Kis-kiosk.com, 2009 ¶ 1) A kiosk has features and benefits that are beneficial to Club IT. A kiosk has extended warranty options, self-service installation, onsite service, online customer support, and hot desk support. More benefits are mentioned below: • HR kiosks offer self-service functions to employees without access to desktop computers, or those not located near an HR office • 24x7 access to HR information without the need for human intervention reduces costs and increases convenience for employees • Online forms and pay-stub printing on-demand saves paper, distribution and administration costs • Factory floor HR kiosks act as a virtual assistant for employee training, scheduling and other managerial functions • Hiring kiosks allow for pre-screening and processing of applicant data, accelerating the hiring process and reducing administrative delays • HR Self-Service applications can be layered onto retail kiosks for after-hours use, leveraging your existing investment • Gaining access to the disconnected employee through a kiosk increases employee morale • Optional touch screen interface enables less computer-literate employees’ easier access to company information. (Kis-kiosk.com, 2009 ¶ 3) Corporations such as USPS, Wal-Mart, Safeway, Pepsi, Ford, and Citigroup to name a few participate with a human resources kiosk. After the deployment of the kiosk there has been evidence of the cost and time savings corporations have gained. Though, these are only within the human resources departments. A variety of kiosks can be incorporated to a corporation. Some are: ticketing, healthcare, order entry, line busting, and check-in, gaming and redemption, retail, bill payment and prepaid kiosk, directories and way finding kiosk, information and marketing, and security kiosk. Club IT offers customers the convenience of purchasing tickets for live bands or special occasion events. A ticketing kiosk will be increase revenue and save time because tickets can be purchased by credit card or cash and reduces lines. The return on investment is the increase in ticket sales, reduction in transaction cost, reduces employee headcount, larger purchase transaction, and reduction in queues by up to 30%. An order entry kiosk is helpful because transactions can be done by credit card or cash and reduces transaction costs. The touch screen method reduces wait time and the pictures within the menus helps those of different nationalities. The return on investment is the accuracy of orders, the reduction of re-orders or administrative errors increase in sales, and of course, transaction cost decreases. Any form of kiosk will reduce transaction cost and will reduce the employee headcount which in turn saves the corporation time and money. Ordering such a system will not be cost- effective at that given moment but will be cost-efficient in the future. Therefore, buying an application off the shelf is not recommended because the software might not be modified properly and might not meet the needs of Club IT. Leasing an application will be a way of saving time and money. “Of course, leased packages (such as purchased packages) may not always fit the company’s application requirements. However, vendor software generally includes the features that are most commonly needed by organizations in a given industry” (Rainer & Turban, 2008 ¶26). Once Club IT has the time and the money to designs a system of its own the joint application design will be an excellent choice. The JAD “is a group-based tool for collecting user requirements and creating system designs. JAD is most often used within the system analysis and system design stages of the SDLC” (Rainer & Turban, 2009 ¶ 74). All eight phases of an SDLC are crucial when incorporating a database. Before any database is incorporated the system must be researched. Everyone needs to be aware of what issues need be addressed, the options available, and the possible issues. A kiosk will solve many issues and during the first phase everyone will wonder how the system will work and what the capabilities will be. The system will be analyzed and designed. Once the analysis and design are complete the programming will begin. Once programmed to the needs of Club IT the testing phase will emphasize any needed changes. The implementation should be smooth because employees will be familiarized with the system. The operation can be time consuming until everyone is proficient with the new system. Once the operation runs smooth the maintenance will be low because less and less errors will be made. Incorporating any system to a corporation will be time consuming and will require a thorough analysis. Though, once implemented properly the corporation will be saving time and money. If a kiosk is implemented Club IT will have many gains and fewer losses. Therefore, investing in a database will be an excellent choice to the members of Club IT.
