Organization Description and Demographic Information During my internship at Club IT, I have witnessed the progress and success of this club. Customers go and socialize while eating, drinking, having fun, and amongst all Club IT is very busy during the evenings. The owners Ruben and Lisa have done a great job with Club IT thus far. To better their business Lisa came to the conclusion that the club needs a wireless system to take orders, so that it can benefit Club IT. I have decided to perform an analysis to incorporate a Kiosk and Night Audit System. Goals and Strategy Lisa and Ruben have a great view of what they want for Club IT. Serving 21-30 year olds, they have been able to meet there short term goal. They have built a place where the community can gather on daily basis. However, Lisa and Ruben are looking forward to incorporating systems that can give them timely numbers with their inventory cost, and quantities. A self service device that can fulfill this goal is a Kiosk terminal along with a night audit. A Kiosk terminal is a devise used with internet connections thus making it a wireless order system. It can be used by managers and employees to serve their customers with food, beverages, and even merchandize such as souvenirs and items with the club logos on it. It is very convenient for the customers as well because they can also use the Kiosk to place orders themselves. A kiosk can save Club IT a lot of money. Kiosk is self service so they will need fewer employees. It can reduce the amount of employee turnovers, distribution cost, and cost of printing. Club It will also need less resources to process new hires coming in to the organization. There are many different types of kiosk the Club can implement. It is preferred for them to design their own system. A night audit is used to keep track of all transactions made in the organization. It keeps track of orders, purchases, and inventory. This system will also separate the payments made by cash or credit/debit. At the end of the day this system will give numbers of all moneys and supplies. This system is therefore capable of re-ordering the product the club needs automatically. Professional Development Both a Kiosk and a Night Audit system are used by entry-level employees and managers. The Kiosk itself can be used to train employees about the job and gather organizations product and procedures. These kiosks are touch screens and are easier to use than old computer-based training techniques. Lisa and Ruben will learn all about the kiosk and how to use it; they can then choose a responsible, quick learning employee to be there trainer. This person will then be responsible for teaching others, and new hires, everyone is to know how to use everything, knowledge is power. Employees will learn how to use this system on their day off and incorporate these learning’s on their next work day. Aside from a trainer, there will be a night auditor to use the night audit systems along with paper trail comparison. In an organization giving titles to employees as well as raises is a good way to increase employee retention. Assessment of Needs Club IT does not have a great deal of technology. In order to implement a Kiosk and a night audit system, Club IT needs to install other services. The club has a very slow internet connection, therefore they must implement faster internet preferably getting rid of the dial up internet service. The Kiosk will rely very hard on the internet as well as the night audit. With a Nigh Audit comes implementing a (SCM) or Supply Chain Management so that we can connect suppliers and consumers through just one network. I recommended that Club IT design their own Kiosk. A good development methology for Lisa and Ruben to implement for their Kiosk applications is (JAD) Joint Application Development. This development allows the client to be involved making it possible to make an application with the needs of Club IT. It also makes the amount of time in making applications much shorter and I am sure Club IT will be highly satisfied. The best process of implementation for these systems are to do them step by step. I would have to say designing the applications should be first. After all applications are configured, the internet connection should be upgraded so that it is up to speed. After the internet, implementing the Supply Chain Management should follow as it is important to have suppliers and consumers linked through one single network before implementing the bigger applications. The Kiosk and Night Audit should follow. This process should take Club IT at least 6 months done properly. Then, Ruben and Lisa will be ready to learn and train there trainer on these systems. The Budget After taking a good look at Club IT’s budget I concluded the following. Club IT Income Statement Year End Total Sales $1,560,000 Total Cost Of Sales $566,488 Total Income $1,045,512 Total Controllable Expenses $809,372 Income Before Int. & Dep. $88,540 Restaurant Profit $37,691 Net Income $28,269 ( Club IT, 2010 ) Estimated Cost of Systems Kiosk & Night Audit $9,000 SCM 3,600 (minimum of 10 users) JAD Already Added on System Total The total amount of income for Club IT year end is $28,269. The total estimate of system implementation is $12,600. Club IT will be making a sacrifice but it will benefit them in the long run. Implementing these systems can be costly and can hurt the club but after these systems are implemented and running the cost of salaries and wages, and employee benefits will lower, making Club IT more successful with money and costumers. This is because they will need fewer employees, and the customers will be satisfied because they will be served at a faster more resourceful way. The Kiosk comes with a touch screen which not only reduces the customer wait time but the pictures can help those of different nationalities. It will make ordering more accurate, less error in part of administrators and the cost of transactions will lower as well. Evaluation To assure proper evaluation of all systems in to Club IT I will recommend that all phases of an SDLC are used when implementing databases. There system has to be properly researched so that issues are taken in to consideration and then one can form other options that can be available when running in to problems. We must first see the capabilities of these programs, thus they need to be analyzed. After the analysis we can begin the programming. Working these systems in to Club IT should be rather smooth because the employees are to be familiarized with the systems. Moreover, when the implementation is complete and running smoothly the maintenance of these programs will decrease as time goes by because less error will be made. Inventory Club IT will be running faster internet. They will be working with one single network through SCM. They will also be working with a Kiosk and Night Audit system that will facilitate most if not all departments in the club. Conclusion When implementing systems in to any organization, can be considered rather time consuming. It will be very important to conduct a very thorough analysis of all systems. After all these systems are implemented properly and are up and running, Club IT will not only be saving money, but also precious time that can lead to the success or failure of any business in current day. Implementing a Kiosk and Night Audit with the correct systems to help, the club should look forward to gaining more and loosing less.
