Case Study Analysis Jessica Blank COMM/215 March 25, 2013 Tracey Lagenbach Case Study Analysis Introduction ABC, Inc. was facing many issues in their company. Most of the company’s issues centered on their campus recruiter and hiring process. The company believed it would be in their best interest to hire an outside consulting firm to look into the company’s issues. The consulting firm came into ABC, Inc. and examined background information on the situation, identified key problems, and found many solutions. After analyzing the case, it was rather evident that the issues could be effectively resolved with teamwork, honest communication, and hard work. Background Carl Robins, campus recruiter for ABC, Inc., only had been at his job for six months. Despite this fact, Carol was able to hire 15 new trainees to work for Monica Carrolls, the Operations Supervisor. On May 15, Monica contacted Carl about the training schedule, orientation, manuals, policy booklets, physicals, drug tests, and other various issues. He assured Monica that everything would be taken care of and scheduled a new hire orientation to take place on June 15 in hopes of having them ready to work by July. Shortly after Memorial Day, Carl took out the files and realized much of the paperwork was incomplete. Furthermore, there is only three copies of the orientation manuals with several pages missing from them. To make matters worse, Carl went to book the training room for orientation, and it was reserved for June. Key Problems There are many problems regarding the ABC Inc. recruitment process. First, Carl hired too many new employees at once. Although recruiting 15 new hires is a wonderful accomplishment, this is too many new employees for Carl’s first recruitment. Since Carl is new to the company and still learning about everyday operations, handling 15 new hires is overwhelming. Another issue the company is facing is the lack of communication between Carl and Monica. Monica should not have waited until the middle of May to contact Carl with all training information and paperwork. Furthermore, Carl should not have assured Monica that everything would be taken care of. The next problem the company faces is that the paperwork for the new employees is incomplete. Some of the new employees did not have completed applications on file or their transcripts. None of the new employees had gone to the clinic for the mandatory drug screening. Carl was also missing a completed orientation manual. The last issue is that the training room is booked for June and orientation cannot occur in there. Carl should have booked the training room as soon as he set a date for orientation. Because he waited so long, orientation will not be able to happen inside the company building. The incomplete paperwork and missing orientation manuals were caused because there was no clear guidelines for the hiring process. Furthermore, the issues are in direct correlation with lack of planning and poor organization. Alternatives After identify the key problems, the consultants came up with many solutions the company can choose from. It is clear that Carl hired too many employees at once; it would have been more practical for him to hire half the number of employees on his first recruitment effort. The company should let go some of these new employees, explaining that there are just too many of them at the present time. The company should consider having two different groups of new hires. Once the first group of new hires have been through orientation and are trained, the second group should go through orientation. If this is not an option the company is willing to take, they should have one of their other employees help Carl get everything ready for orientation. Since the orientation date is fast approaching, and there are many details missing, Carl needs the extra help or needs to put in extra hours himself. The consultants recommended that Monica is the one to help Carl because the new employees will be working for her. Carl and Monica also need to communicate more effectively with one another. They should set up a meeting at least once a week to discuss how the hiring process is going and help one another with any issues. If Carl and Monica work together as a team and effectively communicate, they can get all the missing paperwork together before orientation. This leads to the issue of the missing paperwork. To handle this situation, all new hires must come to a mandatory meeting set forth by Carl and Monica. During this mandatory meeting, new employees will complete all of the paperwork needed for orientation. All new hires will be required that day to go over to the clinic for the mandatory drug screening and be reminded that all paperwork and drug tests need to be completed before they can attend orientation. However, if someone misses the meeting, they should be sent the paperwork they are missing and a date and time to go to the clinic for a drug test. The importance of the completed paperwork and drug test should be reiterated. Next it is vital that Carl finds the original orientation manual. If Carl cannot locate the original file, he should contact Monica, and they should both come up with a new manual. To assure that these issues do not occur again it is vital that there are clear guidelines and deadlines set in place. Before anyone is even hired, the company should make sure that all their paperwork is completed and that the prospective employees have passed their drug tests. To solve the issue of the booked training room, there are two possible solutions. The company can see if any other room in the building is fit for orientation. If not the company should rent a room outside the building to hold orientation. Although there were many solutions discussed, the consultants believe that only a few of the solutions are logical and feasible. Proposed Solutions For ABC Inc. to handle efficiently the situation, Carl and Monica need to work as a team. If they work together and communicate openly and honestly, they can have everything completed before orientation occurs. It is critical that the company set a date and time that all employees must come in and complete paperwork. If the new employees do not come in that day, they cannot start work. Carl and Monica need to complete the orientation manual together to ensure no parts are missing. Many hotels have banquet rooms that they rent out; the company should rent one of these rooms for orientation. Following these solutions and hard work will ensure that everything will be completed for orientation. Recommendations The consulting firm found many problems inside ABC Inc. The new hire requirement process is full of flaws. There is a complete lack of communication between employees and improper organization. Although there are many solutions to solving these issues, only a few are viable. If everyone works together, communicates openly, and puts in hard work, all of the issues can be solved.
