Making decisions based on strategic planning is highly important in today’s economy for business owners. For that reason, organizations apply different types of information systems. After graduating from college with a degree in business administration, Ruben Keys and Lisa Tejada both decided to open a night club. Ruben and Lisa allocated their funds properly, though they need help in the information management department. Ruben and Lisa needed assistance for some with a full analysis of their needs.
Club IT wants to provide a relaxed and safe environment for individuals to gather and meet. The clubs clientele of the club is mainly for individuals between the ages of 21-30. Club IT serves alcoholic beverages and so, no one under 21 is allowed, even though, the club also serves appetizers and other items are included in the menu. Lisa and Ruben hire live bands, world DJs, NYC bands, San Francisco bands, and the main focus on music is hip-hop, techno, electronica, and MP3 playlists. The club also has open mike, country, alternative, R&B, Latin, jazz and folk music throughout the upcoming months.
Merchandise such as t-shirts, baseball caps, shot glasses and glass mugs are available for club members to purchase. The club’s staff consists of 1 Assistant manager, 4 bartenders, 6 waiters, 2 stewards, 2 short order cooks, and 4 security guards. Every employee has access to their information via online through the employee portal.
Every organization is in need of information systems to collect data in support of the corporations’ mission. Information management systems must be incorporated to an organization to ease the flow of communication between management and employees and employees within employees. Microsoft Vista or XP are excellent office automation systems used for communication. Another wonderful program is Microsoft Outlook which facilities the distribution of information throughout the clubs employees.
A transaction processing system (TPS) will help support the primary functions of the club. The system monitors the collection and processing of data or transactions. Purchases made by customers are transactions that are recorded and generate data that is very important to the operations of the club. A transaction processing system records all transactions facilitating management the information needed to increase production and advance the marketing structure.
A huge portion of Club IT’s products are purchased online. So, the electronic commerce system is fairly large. Transactions can be done on a business-to-business basis via internet to decrease operational costs. Customers can use the business-to-consumer system to purchase the memorabilia items the club has for sale through the clubs website. A different system that can be used is a functional area information system to process payroll, manage schedules and so managers can control a specific area.
A strategic information system must be incorporated, in order for Club IT to maintain a competitive advantage and reduce any disadvantages. The strategic information system must incorporate the following strategies; cost leadership, differentiation, improvement, operational effectiveness, and customer orientation. The inventory needs to automatically replenish to reduce cost and products, in order to have an advantage on cost leadership Club IT. By offering a selection of services and products Club It will promote differentiation to customers. Every club must keep their customers interested by including the newest equipment, services, and products. A job well done will help continue the innovation of the club. The innovation of a club can vary from the most popular drinks, music, appetizers to ATM machines within the facility. If the strategic plan is incorporated correctly the operational effectiveness of the club will increase considerably. The quality of the alcohol served, importation of beer, the quality of the memorabilia and even the quality of the system used for music. Lastly, if customers are happy and the clientele turnaround is positive the customer orientation has strategically been emplaced. Customer word of mouth is many times more influential than advertisement, so the clientele numbers rise and the need for such a large spending on advertising decreases. Though, the competition is out there and there are those that continually try to counter our strategies to their benefit, it is important that we stay innovative.
Hiring too many employees can be eliminated as long as Information systems are being used for an organization function properly without so many staff members. An information system makes the job of a manager less time consuming and allows the manager more time to be involved in the daily functions of a business. If Ruben and Lisa incorporate a strategic information system the effectiveness and production of Club IT will increase positively and their information management will be emplaced.
