Since the idea of going “green” has revolutionized business activities throughout the world, the modes by which communication takes place have also quickly advanced. Effective communication is the key component that enables the success of any business and lack of it affects shareholders and stakeholders equally.
Just as effective as e-mailing is to convey messages, it equally hinders the intent of said messages from being relayed properly. For instance, it is a very common mistake for customers to mistype numbers or request for the wrong type of service. This in turn not only becomes an administrative issue but also results in financial burdens that could have been eliminated from speaking directly to the customer. Likewise, incessant messaging to groups of people becomes a nuisance within the workforce and many e-mails with important messages go unread. When meetings and events are scheduled, many times the alerts might come up when the employee has no e-mail access. The requirement to receive time-sensitive messages calls for a greater need for the recipient to be able to access their e-mail immediately. Not all recipients own a mobile device with instant e-mail access, therefore many times e-mailing important things is not always as efficiently communicated as hoped. Common technical errors with servers, networks, and the system are all other factors that could interrupt the channel of communication.
Although e-mailing within the working environment is one way of eliminating wasteful time, it has also become the biggest source of distraction. Conversations, jokes, chain mails and regular forwards begin to populate the inbox and more time is spent sending and reading non-work related emails. This leads to decreased productivity and declining rates at which customers needs being taken care of. Likewise, miscommunication is more likely to occur when an e-mail is not written accurately or concisely. Due to the lack of recognizing the tone behind a message, many messages are easily misconstrued and misunderstood. This calls for a tensed environment being created at the work place and even sometimes with customers.
In conclusion, the biggest trend in business communication is the use of e-mail at my work place. The use of e-mail is very beneficial in several ways even though sometimes it defeats the purpose for which it is used. But overall, I find that using this method will remain popular amongst most businesses due to the benefits that outweigh the risks involved in this informal method of communication.
