Mission Statement and Clientele The mission statement is quoted on the week two reading material, "We, Ruben and Lisa, offer you live music, DJ's, dance space and refreshments that suit your lifestyle. You are our friends, and we seek to build a community that meets regularly at Club IT." In other words, the club will provide most enjoyable music experience to all Club IT patrons through innovative application of the available information technologies; various services will be provided to enhance the club experience; all patron information is kept strictly confidential. The club’s trendy and technological atmosphere appeals to the groups of twenties and thirties who would enjoy a casual environment with good music and tailored services. Information Resources and Information Systems To ease the flow of communication between management and employees and to support the club’s mission, a variety of information management resources are available for use. Overall communication within the company will be handled through traditional email system such as Outlook along with wireless handheld devices and smart phones. Work schedules, policy updates, daily specials or menu changes, and security policies can all be communicated between staff members quickly and accurately with these devices. The entire system resides in a secure server environment with various stages of firewalls to protect the contents from the prying eyes. Various databases are housed under the latest Microsoft SQL Server environment. The system provides full array of reports ranging from bar sales, patron activities, music choices as voted by the patrons, custom CD sales, as well as standard accounting reports. The reports schedules are both fixed and flexible. Certain reports are generated automatically on a weekly/monthly/quarterly basis. Other reports can be run manually with more detailed criteria. Generally speaking, the information system department (ISD) is responsible for corporate-level and shared resources, whereas the end users are responsible for departmental resources (Axia, 2009). Enterprise Resource Planning System (ERP) An ERP system will assist with several major internal business functions. Financial and accounting, sales and marketing, human resources, and production processes will all provide Club IT with thorough and up to date business plans. Since Club IT is not as well-established in their business processes, converting to an ERP system should not require extensive changes. In order to support Club IT data driven decision-making business practice the following data are provided by the system. • Improved tracking of ticket and merchandise sales • Improved ease of keeping business accounts and accounts payable • Revenue tracking, cash management and forecasting • Quickly and easily process merchandise orders; run credit card purchases • Evaluate pricing and billing; improve sales planning • Inventory management, shipment tracking, quality control, production planning • Employee payroll, time-keeping, benefits accounting, performance evaluation
