This report will explain business communication systems. It will describe both the advantages and disadvantages of various methods of communication. It will also help show how they can make a difference to your business. Findings Email Electronic mail, also called email or e-mail, is a method of sending and receiving messages across the Internet or other computer networks. Originally, email was transmitted directly from one user to another computer. This required both computers to be online at the same time. Today's email systems use a store and forward method. Email servers accept, forward, deliver and store messages. To use email the business would need an internet service provider and also they need an email account. A business such as play.com uses this type of communication to send confirmation to their customers that they have received payments. The advantage of this method is that it’s free and quick. Although the drawbacks are that both the business and customer need access to a computer and emails can be easily found by unauthorised access. The main advantages of emails are that they are fast and easily customised. Video Conferencing A videoconference is a set of interactive telecommunication technologies which let two or more locations to contact each other via two-way video and audio at the same time. It has also been called 'visual collaboration' and is a type of groupware. An example of a company that may use video conferencing is HSBC because they have branches all over the world so they could contact each other via this technology. The advantage of using this technology is that it is better for the environment as long distant trips are no longer necessary therefore cutting back on their carbon footprint. To have a video conference each person will need a computer with a web cam, speakers, a microphone and perhaps a language translator if speaking to people from different countries. The main disadvantage of this communication is its dependency on technology. Instant Messenger Instant messenger is a form of text based communication between two or more people and can be used as a form of video conferencing if a webcam is present. It requires both users to be online at the same time however the messages are instant therefore it has an advantage over email because it can be replied to straight away so it saves time. To use instant messenger the user needs to have an internet service provider and an email address. Role Of Communication Technology E-Commerce Electronic commerce or E-business is the buying and selling of products or services over electronic systems such as the internet and other computing networks. Modern electronic commerce uses the World Wide Web and a range of technologies such as e-mail as well. This is used in a business to make it easier for the customers as they can buy quick and easily over the internet instead of meeting in person. E-Business Electronic business, referred to as "e-business", is the activities of a business on the Internet using information communication technology (ICT). Unlike e-Commerce it refers to not only the buying and selling of products but also servicing and communicating with customers and business partners. This can be used in a company as it makes it easier for the company to contact customers and other businesses using ICT. E-Marketing Internet marketing is the marketing of products or services over the Internet. Businesses would use this to advertise their products or services on the internet by having a web page or adverts on other sites. For example have an advert on Google which would lead the reader to your businesses web page Conclusion In this report I have explained several different communication systems that businesses might use to communicate with other branches, businesses and customers. I have shown both the advantages and disadvantages of each method all of which make communication easier and faster. I would advise you to take all methods into account when considering how your business will communicate internally and externally. I have also explored the different roles of communication technology in businesses. Each has a definition and an explanation on how a business might utilize them. I would recommend that you took full advantage of the web and its wide spread influence by creating a web page and invest in online adverts as this would create more custom for your business and help sell your products or services.
