Bhupinder pal Singh Professor Dr. Evelyn Hendrix Organizational behavior 14 march 2010 First night assignment How changes creates opportunity in organizations who are using a “Five S” system Change in organization would, in the long run, lead to change in the organizational culture. A typical example is the learning organization, where people are excited in trying out new ideas and recognize that failure is an important part of success. Change process which can broadly be summarized by five key steps Five S system is the name of a workplace organization methodology which is derives from five Japanese words that begin with the letter `S'. It is an effective tool to improve the overall performance of organization. “A Five S's program is about improvement within a facility or manufacturing plant that focuses on organization, cleanliness and standardization to improve profitability, efficiency, service and safety” (Hudgik 1). This system improves the overall efficiency and provides competitive advantage by reducing wasted time and materials in the organization, improves daily or shift startup times, also reduces maintenance and downtime improving efficiency and productivity and helps in improves employee morale and simplifies work environment. The 5S are: 1. Sort: "Sorting" means to sort through everything in each work area. Only those tools should be kept which are necessary. Materials, tools, equipment and supplies that are not frequently used should be moved to a separate place. Items that are not used should be discarded. 2. Set in order: Systemized is to organize, arrange and place most commonly used tools. Storage areas, cabinets and shelves are properly labeled. Floor is cleaned and painted to make it easier to spot dirt, waste materials and dropped parts and tools. Areas on the floor are identified as work areas, movement lanes, storage areas, finished product areas. 3. Shine: This requires regular cleaning things up. Regular, usually daily, cleaning is needed. While cleaning it's easy to also inspect the machines, tools, equipment and supplies one work with. Regular cleaning and inspection makes it easy to spot lubricant leaks, equipment misalignment, breakage, missing tools and low levels of supplies. Problems can be identified and fixed when they are small. 4. Standardize (Simplify): To ensure that the first three steps in your Five S program continue to be effective, the fourth step is to simplify and standardize. The good practices developed in steps 1 through 3 should be standardized and made easy to accomplish. Work structure should be developed that will support the new practices and make them into habits. 5. Sustain: The final step is to continue training and maintaining the standards. A formal system is set for monitoring the results of your Five S program, as one cannot clean up, get things organized and labeled, and ask people to clean and inspect their areas every day -- and then have everything continue to happen without any follow-up. 5S system creates an opportunity for organization to participate in the global economy and compete against companies that are advantaged by overseas production. This system provides a ways to reduce cost, improve quality and increase productivity, which allows for improvements in productivity while increasing the quality of the output. Five S system use minimal amounts of resources to produce high volume of high-quality goods with some variety, allowing companies to make better use of available resources. The 5 S process is one of the most fundamental and widely applied component. Its application is simple, involving basic common sense; however, the advantages cannot be underestimated due to its simplicity The 5-S lays a foundation for our quality programs and enables an organization to continuously improve our services to the customers. Staff can easily understand the simple and effective tools under the 5-S and apply them in their daily work with improved results. 5-S is a simple but effective tool to improve productivity through a better management of the working environment. In view of the vast volume of work as well as data handled by the Maintenance Division, there is a need to adopt a systematic approach to organize information and manage our operations in order to provide a better service to public housing residents. The use of 5-S techniques provides a solid foundation for the implementation of the Quality Management System in the Maintenance Division. Once implemented a 5s system can be the stabilizing force underlying a lean manufacturing strategy. It helps everyone in the organization to live a better life. It is the starting point of a TQM program. The Hong Kong Government is fully committed to promoting the 5-S practice in order to help industries to improve their competitiveness. In fact, many successful organizations, east or west, have already included some aspects of the 5-S in their routines without being aware of its existence as a formalized technique.
