Subject: Challenges and strategies in project 1


Dear professor:


Here is a report of my assignment about project 1.


Before I start to write the Emails and demos, I read the provided materials carefully to understand and absorb the knowledge in business communication.


Firstly, I create 4 situations which we usually will meet in our ordinary life as follows:


Situation 1: Supposing you are a manager of a clothing firm named Beautiful, you receive a customer complaint about the quality of the clothing that he bought several days ago from your company, and you need to reply the email to solve the problem.


Situation 2: Supposing you are an English professor in New York University. You have received a letter from China and a student named Elena wants to continue her master degree under your guidance. She has already read lots of your essays and sent her resume to you and you need to give a reply to her Email.


Situation 3: Supposing you are a sales department manager of financial company and the board has decided to promote a new policy about saving overheads, and you need to inform all the employee in your department about the policy and give accurate suggestions by using a memo.


Situation 4: Supposing you are an assistant of a sales manager, you just get a phone call which hopes your manger to attend a business meeting this Next Friday in Mary Hotel. Please inform your manage in the form of a memo.


With the establishment of different situation, challenges come to me. To begin with, in different situation, the context is totally different, I need to figure out the theme of each situation and know how to pass it by emails or demos. Secondly, I act as different roles, manager, assistant, professor, which means my tone and the way I am thinking is different. As I manager, you need to consider costumers, benefit of the company, as a professor, you are an educated and a specialist in a field. Thus adjusting my tone and my way is important. Thirdly, there are some format I need to learn when I began to write an email or a demo, like the different opening, body and closing, even the subject line or salutation is important. Analyzing the subject, drawing a draft, revising are the main process when I deal with assignment.Finally, although email and memo are ways of correspondence, but there are some different details I need to distinguish and applying it in my assignments. Emailing is a way to share electronic files colleagues, clients and customers while memos recording is a way to circulate information within your organization, and the format of those two ways is also different.


There are all the challenges I face and my correspond strategies when finishing Project 1. If you have any suggestions to my project 1, please tell me. I will appreciate the advice you give me and try my best to improve my writing skills.
